Accommodation: How do I add an Accommodation

This document explains the features available in the Accommodation Step of the Itinerary Builder. It includes information on how to set Room Configurations and the accommodation Basis, how to provide alternative accommodation options, hide certain room types, and much more.

This article only covers the features of the Accommodation Step of the Itinerary Builder. For instructions on how to build a complete basic itinerary, refer to the article How to Build a Basic Itinerary

Getting Started

To add accommodation you will need to either create a new Itinerary or edit one of your existing Itineraries. For the purpose of this document, a Personal Itinerary has been selected. 

After you have filled in the relevant details in Step 1: Itinerary Details, click on next step or Step 2: Accommodation to start adding Accommodation to your itinerary. 

In order to add Accommodation, you'll need to add travel dates. To enter dates into the Itinerary, click on the Calendar icons at the top of Step 2. 

Note: number of nights in the bottom right hand corner will need to match the total number of nights you set for all the accommodations you select.

How to Add Accommodation

To add accommodation to an itinerary click on the blue +  icon and select Accommodation. Start typing in the name of the property in the text field and a drop-down menu will appear from which you will need to select your property. When you start typing, you will find other properties with a name that is similar to the one you are looking for will also pop up, so make sure to select the correct one. If you find that the property you are looking for is not there, contact support@wetu.com so that it can be added.

Note: The IB icon means the property has a paid Wetu Listing and the % is an automated Wetu Content Rating.  A higher rating generally means better, more up-to-date content.

By clicking on the preview icon next to the hotel that you have selected, you are able to view the content that has been loaded for that property, such as, images, description and room types. 

Room Configuration

Setting up the rooming details click on  Room Details

Here you are able to set the room type, room configuration and number of rooms per room type. If the Supplier has specified how many of each room type they have, this will display next to the number of rooms you have selected.

Hide Room Type

You will also be able to hide any room types which you do not want your client to see. This is useful if, for example, you have a specific arrangement with an accommodation provider about which room types a client may choose from as part of a particular package.

To do this tick the checkbox next to Only display selected room types. Only the room types that you have selected will show on your itinerary outputs.

Basis and Drinks

To change the basis, select the applicable one from the drop-down menu that appears when you click on Basis. You can do the same for the Drinks.

Live Availability

You can enter the number of Nights that the clients will be staying at this particular accommodation by increasing the amount by free text or clicking on the plus ( + ) button.

The symbols at the end next to the check-in date show live availability if linked to an affiliate booking system. Below are the different icons that will be shown accordingly.  

  • ? -  Live availability not linked or link is broken
  • ✓ - There is availability 
  • X - Fully booked

Below your selected accommodation there will be a drop-down menu where you can select your Destination once off for this Itinerary.

Day Grouping

Day Grouping is used for grouping different sections of your Itinerary either separately or together. This will affect the output of your Planner step.

Entering Alternative Accommodation

This allows you to add an Alternative Accommodation that the clients can choose from if they are not sold on the first choice. Again all you need to do is type in the name of the alternative hotel and select it from the populated list generated by Wetu.

Note: More than one alternative hotel can be added at a time.

Adding Accommodation in front of hotel entries

To add Accommodation before an existing hotel entry you will need to click on the blue plus '+' button. This will open the different options that can be added to the itinerary. Select 'Accommodation' from the available options and repeat the same process as above.

Reverse Itinerary

By Clicking on  Reverse Itinerary you will be flipping your entire Itinerary around. You will need to check the Routing to make sure it has updated accordingly, if not, manual corrections will need to be made.
